Calendar sharing

Calendar sharing is a function which allows users to invite people inside their organization to see their calendar, scheduled events and add new ones or modify them if they receive the proper access privileges. It is a very important feature in recent days because more and more people work from their homes and need to coordinate their schedules with their coworkers.

How does it work? The owner of the calendar needs to send you an invitation and you need to accept it. Then you will be able to access it in your own calendar app. The major providers such as Google or Microsoft have their own way of sharing a calendar.


Outlook calendar sharing:

  1. Access the Outlook web calendar
  2. Select a folder you want to share
  3. Click on the three dots menu “More options” and select “Sharing and permissions”
  4. Type the address of the member of your group you want to share the calendar with
  5. Specify the access rights
  6. Share


Sharing Google calendar

For sharing Google calendar you need to:

  1. Access your Google web calendar
  2. Select a folder you want to share
  3. Click on the three dots menu “Options for Calendar” and select “Settings and sharing”
  4. Select “Add people”
  5. Select specific person and specify access rights
  6. Confirm

The person then receives the invitation and once he accepts it, he will see the calendar in his folder list and will be able to use it according to the given access rights.

You don’t have to access the shared calendar from the web interface, you can use some calendar sharing app such as eM Client. eM Client will allow you to synchronize and manage all your shared calendars directly in its Calendar UI. Using eM Client with Microsoft Exchange or Icewarp will even allow you to share the calendar directly from the app without the need to login to your web calendar interface. It is very easy as well.

In eM Client navigate to Calendar section and select a calendar folder you would like to share. For Microsoft Exchange:

  1. Right click on the folder and select “Share”
  2. Search the member of your group
  3. Specify his rights
  4. Click on Share

For Icewarp:

  1. Right click on the folder and select “Properties”
  2. Switch to “Access control” tab
  3. Click on “Add”
  4. Search the member of your group or the entire domain and confirm
  5. Customize the access privileges
  6. Confirm with “OK”

Once a user receives the invitation and confirms it, he will be able to work with the shared calendar according to his privileges. eM Client can also manage any family sharing calendar such as iCloud family shared calendars so you could easily create and participate on family events, organize your schedule together and not miss anything in your family or group. You only need to set up the calendar sharing and eM Client will synchronize the folder and do the rest.
