Many of us like to keep our work process effective - and not just because of fast-paced work environment. In
this article, we will explore how eM Client can save you valuable time and energy with Quick
Actions.
When using your work email, there comes a point where you get used to your role and have already found the best
way to deal with certain emails. While repeating the identical series of actions during your workday, you might
have thought: isn’t there an easier way to do all these routine tasks?
Quick Actions will help you achieve an even smoother workflow.
The Quick Action feature enables you to perform a series of interconnected tasks with a single keyboard
shortcut.
How to use Quick Actions in the eM Client desktop app
You can create a new Quick Action by either going to Menu > Quick Actions or
using the main toolbar to open a Quick Actions menu and selecting Manage.
In the Quick Actions section you can edit existing Quick Actions or create new ones by clicking the + Add
button.
Once you click + Add, the Quick Action Detail window will pop up. Then you can create your new
Quick Action by adding an action to the sequence:
Once you have selected the actions to be performed, name your new Quick Action and select which shortcut will
launch it:
Note: you can assign any shortcut you like - including single-key shortcuts, unless the
same key combination is already in use in Settings > General > Shortcuts.
The use of shortcuts is completely optional - you can change the default shortcuts in the
settings. More on shortcuts here.
If you want to change the order of the actions, either drag and drop the action to a different slot, or select
the action by clicking on it and use the toolbar arrows to move it into the preferred position:
Once you are finished adjusting, do not forget to click on Save & Close to save your new Quick
Action.
To launch your Quick Action, you can use the shortcut you assigned to it. Alternatively, the Quick Actions can
be launched from the main toolbar or (when in the main window), you can use the single-key shortcut -
Q - to open the Quick Action bar. Once it opens, start typing the name of the Quick action you
want to launch, then click on it to launch it.
The Quick Actions feature is currently only available in the eM Client desktop app for paid license users.
When Can I Use Quick Actions?
When Composing Emails
Is there an email that you send out often? You can create a Quick Action that will automatically open a new
compose window, fill out your signature, insert a template or a Quick Text, add the recipient or Cc: (carbon
copy), the subject, and also notify you when the recipient replies to it.
It’s also quite useful to be able to quickly send a polite reply to emails that need to wait until you are less
busy. This way, you can give them the attention they require. By acknowledging their emails, your colleagues or
clients will know you are not ignoring them, which is always better than leaving them in silence.
Let’s have a look at this Quick Action example in action: open the Quick Actions window, create a new Quick
Action, and add the following:
Tag - Reply - Add QuickText - Use signature - Send - Create Task from Message
Adding a tag that says "Detailed reply needed" or something similar will help you see which
emails need your attention later.
You need to insert some text in the email, and QuickText will work great for this (Settings >
Mail > QuickText).
But let's customize it a little bit by adding a variable that will insert the given name of the
email recipient - or a placeholder that you can later edit manually before the email is sent:
Add a signature of your choice and don't forget the Send action.
The final touch is creating a task from message - once the message is sent out, a Task creation window will automatically open. Schedule a better time for a detailed reply, and set a reminder - maybe after you finally send out that project proposal with an urgent deadline?
Select a shortcut that feels the most comfortable to you and save your new Quick Action.
When Managing Inbox
You might prefer sorting incoming emails into your own folders - and while the Rules feature can solve this easily, sometimes semi-manual sorting is needed. Especially when there is a lot of variation in terms of senders' addresses or email subjects and content.
An easy and clean solution for those cases is creating a Quick Action to move an email to a folder.
Just create a shortcut for each of your folders and sort your emails while also having complete control of what goes where. And while you're at it, you can add a tag to the email and mark it as read within the same Quick Action .
Sometimes you receive an email and you know immediately it's supposed to be handled by a colleague rather than yourself. A simple Quick Action can not only forward the email to the person in charge but also save a copy of the email to a prepared folder, so this task will be as painless as possible:
Quick Actions can transform the way you work and help you optimize your tasks. You won't have to repeat the same series of actions and waste time in the process. With Quick Actions, you can easily compose new emails and replies, organize your inbox, and create related tasks using a simple shortcut.
