Smooth teamwork: eM Client with SmarterMail

Our partnership with SmarterTools started a few years ago, and together, we have tirelessly worked on enhancing the integration between SmarterMail and eM Client. Starting with version 9.2, we introduced significant improvements, and we have only continued building on them ever since.

In this article, we’ll take a closer look at all the features and options that make eM Client and SmarterMail work together more seamlessly than ever.

Smooth teamwork: eM Client with SmarterMail

First of all, thanks to our close collaboration with SmarterTools, the enhanced compatibility of SmarterMail features is available to you whether you are using an SmarterMail Enterprise (via EWS protocol) or SmarterMail Professional (via IMAP and CardDAV/CalDAV protocols) edition.

No lengthy configuration is needed to use your SmarterMail account in the eM Client app. Just open Menu > Accounts > Add account (Windows) or eM Client > Add account (macOS), and with the automatic setup wizard, you'll be ready to go in a few simple steps. eM Client will seamlessly detect the optimal settings for all your services, so you don't have to worry about the technical details.

Easily synchronize all of your SmarterMail emails, contacts, calendars, and tasks - and thanks to the XMPP protocol support, you can also access all of your SmarterMail chats in real time!

Stay connected with SmarterMail Online meetings

The eM Client app includes native support for SmarterMail Online meetings, which means that you can easily create an online meeting and select SmarterMail as the provider - eM Client then automatically creates the SmarterMail Online Meeting and embeds the meeting link into the appointment. No need to switch to the SmarterMail web interface.

Company workflow made easy with sync of server-side features

Thanks to the seamless integration between SmarterMail and eM Client, your team can enjoy the benefits of:

  • Synchronized signatures

    The signatures you set up will be synced across all of your devices via EWS or IMAP, so there is no need to import your signature designs manually. This also helps to keep the company branding unified for all users.

  • SmarterMail tags

    Any tags you set up in your webmail will be synced in the eM Client app and vice versa, so even with a large number of emails, your inbox will stay neat and organized.

  • Server-side rules

    Unlike Local Rules, server-side Rules are applied even before any message is downloaded to the email client. This ensures you are in charge of organizing your messages right from the source, no matter which device you are using.

  • Server-side blacklist and whitelist

    Centralized filtering for incoming messages will help you prevent important emails from ending up in the spam folder. Administrators can monitor or override any inappropriate user blacklists or whitelists.

  • Contact groups

    Contact groups, referred to as Distribution Lists in the eM Client app, significantly improve communication between departments. By integrating with the Global Address List (GAL) or using a shared CardDAV address book in an IMAP-based email setup, you can effectively manage company-wide distribution lists organized by department, role, or location.

Setting up account delegation and public folders

In case you use the Exchange setup for your account via the EWS protocol, you can allow users to share and access SmarterMail accounts or public folders in the eM Client app. This is handy for team collaboration or when a colleague needs to cover for you during your absence.

Delegation for SmarterMail accounts

  • Go to Menu > Accounts (on Windows) or eM Client > Accounts (on macOS) and select your SmarterMail account. You will see a Delegation section under the Exchange Web Services tab:

    Your account settings can also be accessed from your email accounts list in the left panel by right-clicking the account and selecting "Delegation".

  • Click the "Edit" button to change who can access your account. The Delegated accounts window will pop up:

  • After clicking "Add", delegate access to user(s) or groups by typing their email.

  • Once you click "Ok," you'll have the chance to customize the permission settings. You can grant limited access to the delegated account by choosing to allow reading, creating, or modifying items, or any combination of these:

    Now the setup is done, and the user will be able to access your SmarterMail account based on your settings.

    To revoke their access, head to the Delegation section, click the "Edit" button next to the option labeled Change who can access your account, select the account, and click "Remove".

Add a delegated account you already have access to

If you have been granted access to a SmarterMail account, you can add it to your eM Client folder list in Menu > Accounts (on Windows) or eM Client > Accounts (on macOS).

  • Head to the Delegation section under the Exchange Web Services tab. Then click the "Show" button next to the Accounts you can access option:

  • After that, press the “Add” button and look for the delegated account within your organization. Once it comes up, click “OK”.

    You will find the added account in your folder list.

Subscribe to Public folders

Admins can create public folders that users can subscribe to in the eM Client app. If you want to do that, go to Menu > Accounts (on Windows) or eM Client > Accounts (on macOS) and head to the Exchange Web Services tab's Public folders section:

To subscribe to public folders, click the "Edit…" button. A pop-up window will appear, allowing you to select the folders you want by checking their boxes.

You can also subscribe to or unsubscribe from a folder and all its subfolders by right-clicking on it or clicking the three dots symbol next to it. This is handy when a folder has many subfolders, saving you the effort of checking each one individually.

After selecting the public folders you want to subscribe to, click the "Ok" button to save your changes.

Your subscribed public folders will appear on the left panel under the delegated account's section.
